When I joined ArtLifting, the entire artist program ran on spreadsheets, email threads, and institutional knowledge that lived in people's heads.
Data for thousands of artworks had no structure. Onboarding was ad hoc. There was no digital asset management system, no project management platform, and no documented process for how artwork moved from an artist's studio to a Fortune 500 client's wall.
ArtLifting's model combined the unpredictability of a creative studio with the rigor of a commercial enterprise. Every artist we represented lived with a disability, and the entire operation — from recruitment and onboarding to portfolio development and client delivery — was conducted remotely. That meant working across a wide spectrum of communication styles, technical fluency, and creative conditions. Some artists had limited studio space. Others required adaptive tools. Each engaged the market with a different level of readiness and confidence.

Every artist we represented lived with a disability, and the entire operation — from recruitment and onboarding to portfolio development and client delivery — was conducted remotely. That meant working across a wide spectrum of communication styles, technical fluency, and creative conditions. Some artists had limited studio space. Others required adaptive tools. Each engaged the market with a different level of readiness and confidence.
The challenge was building an operational framework that could support individual creative development and the predictable performance of a national business at the same time — without sacrificing either.

I designed and governed the operating architecture for ArtLifting's creative pipeline: intake, onboarding, portfolio development, digital documentation, commission delivery, and enterprise sales support.

I began by documenting what existed — departmental policies, project templates, communication norms — to clarify how data and artwork actually moved from artist onboarding to client delivery. Those manual systems became the scaffolding for a digital transformation I led over the next two years: Asana for project management and AiR for digital asset management, both of which I implemented, and Odoo for financial tracking and CRM, whose architecture I designed and which deployed after my tenure. For each platform I built the data architecture — artist profile templates, permission structures, intake forms that auto-triggered onboarding sequences, and KPI dashboards that synchronized visibility across Curation, Operations, and Sales.

I proposed increasing per-capture investment to improve fidelity and metadata accuracy — raising the reproduction standard from no minimum to 40″, then to 50″+ within two years. The result was a 15,000+ asset national archive that enabled print-on-demand and licensing programs and accounted for the majority of company revenue.

Centralizing artwork shipping to a single location was neither cost-effective nor accessible. I built a regional vendor network for fine-art photography and reproduction services across 36 states — screening partners, negotiating volume pricing, establishing capture standards and QA protocols, and conducting regular performance reviews to maintain consistency.

The solution was a rolling quarterly model: up to 10 pieces per quarter, reviewed on a defined cycle, with submissions after the 15th rolling to the following period and a December–January closure for vendor schedules and internal capacity. This balanced predictability with flexibility and more equitably distributed submission and sales opportunities across the artist community.

Redesigning the structure was only half the work. The harder problem was adoption. Getting 150–200 artists — each with different communication styles, learning preferences, and accessibility needs — to internalize and act on new guidance required deliberate change management. Written communication worked for some. Others needed verbal walkthroughs, visual examples, or hands-on demonstrations. We designed feedback for the most accessible format first, ensuring that directional themes, collection standards, and market guidance could reach every artist regardless of medium, disability, or technical fluency.
The goal was never uniformity. It was structured flexibility — enough coherence for curators to build proposals and clients to navigate the collection, without constraining the creative diversity that made the community valuable.
